SOA balance vs. ad account balance: reconcile the difference

Understand why workspace credit, account allocation and platform spend differ. Reconcile your prepaid SOA using matching records, currencies and reporting periods.

The short answer

What to know before you begin

The SOA records workspace funding and allocations; the advertising platform reports account activity. Those balances are not expected to be identical. Match the customer, currency, reporting period and transaction references before deciding that money is missing.

Who this is for

Prepaid customers comparing remaining workspace credit, SOA totals and advertising platform balances or spend.

1. Check whether the figures measure the same thing

Total payment, net ad credit, remaining workspace credit, allocated funds and platform spend are different amounts. A service fee can be part of the payment without becoming ad credit. An allocation reduces remaining workspace credit but is not itself proof that ads spent that amount. Start by writing down the exact field names on both screens.

On a narrow screen, scroll the table sideways to compare.

Total paymentMoney sent, including the agreed fee where applicableNet ad credit

Account allocationCredit assigned to a specific advertising accountConfirmed campaign spend
Platform spendAdvertising consumption reported by that platformA workspace deposit or a refund

2. Reconcile the standard prepaid SOA

For the standard prepaid SOA, remaining balance is opening balance plus recorded net credit, minus recorded account allocations and the total of refunds and non-refundable deductions. These are ledger figures, not a daily advertising performance calculation. Partner or postpaid arrangements can use a different view; confirm the agreed arrangement before applying this equation.

  • Include the opening balance instead of starting from zero without evidence.
  • Use recorded ad credit, not the fee-inclusive payment total.
  • Include the relevant refunds and non-refundable deductions once.

3. Follow a simple reconciliation example

In a fictional example using one ledger currency, an opening balance of 0 plus 1,000 in recorded ad credit, minus 600 allocated to accounts and 50 in recorded deductions, leaves 350 in the workspace. That does not mean platform spend must be 650 or that 350 is sitting in an advertising account. This is an arithmetic illustration, not a customer balance, invoice or fee quote.

4. Align the scope, timing and currency

Compare the same customer and workspace, then record each view’s date range, timezone and last refresh. A lifetime SOA summary and a filtered transaction table can legitimately cover different periods. Confirm whether an allocation or refund is requested or completed. Keep each currency or asset separate; do not silently equate USD, USDT or another currency or invent an exchange rate.

5. Trace the unexplained difference to its references

List the opening amount and the included credit, allocation and deduction records, then mark the first point that does not reconcile. Give support the exact two fields, their values and scopes, and the related references. Do not adjust balances or submit a compensating payment to make screens match. Use a verified private channel and redact unrelated customer or payment details.
