How to read your advertising statement of account

Understand requested credit, service fees, available balance, account allocation and ad spend. Reconcile your SOA without mixing different stages.

The short answer

What to know before you begin

A statement of account is an operational record, not simply a screenshot of campaign performance. Reconcile payments, fees, recorded credit and account movements separately, using matching references and the same reporting period.

Who this is for

Media buyers and finance contacts checking advertising funding against workspace and platform records.

1. Start with the account and reporting period

Confirm which business, workspace or account the statement describes, and check the date range and currency. A campaign report for one period should not be compared with a funding record from another. Keep the account reference with the document so that a similarly named account cannot be mistaken for the right one.

Before doing arithmetic, separate the questions you want to answer: how much was paid, how much credit became available, how much was allocated, and how much was actually spent. Those questions use related records, but they do not all have the same total.

2. Separate requests from posted movements

A submitted funding request describes the intended transaction. Payment evidence helps the team check it, but neither is automatically a posted balance change. Look for the confirmed status and the recorded amount in the applicable workspace view. Keep a pending item on your reconciliation list until its final state is clear.

On a narrow screen, scroll the table sideways to compare.

RecordWhat it tells youWhat it does not prove

Recorded workspace creditCredit has been posted to the workspaceIt is already in the chosen ad account
Account allocationCredit moved through the agreed account processThat amount has been spent on ads
Platform spendCampaign cost reported by the platformThe total paid including service charges

3. Read the fee beside the credit

AdsGorilla’s service fee is calculated on requested credit and added to the total payment. The illustration below uses the current default Google Self Managed rate. It is not your invoice, and separate payment charges or memberships are not included. Your agreed terms take precedence.

This distinction matters when reconciling a receipt: the payment total and credited media amount are deliberately different when a service fee applies. Do not treat the difference as missing ad balance without checking the recorded charge.

Illustrative example · Google Self Managed
Requested credit
$1,000.00 USD
Service fee
$100.00 USD
Total payment
$1,100.00 USD

Not an invoice. Separate payment charges and membership are excluded.

4. Reconcile one type of balance at a time

For a workspace balance, start with its opening credit, add posted credits and adjustments, and subtract the movements recorded against that same workspace. Do not subtract platform spend a second time if your record already treats account allocation as the outgoing movement. An ad-account balance has its own funding and spending record.

When comparing to the advertising platform, use the matching account, currency, date range and reporting time zone. If entries post at different stages, ask about their status before concluding that the records disagree. Avoid combining balances across currencies without an agreed conversion basis.

5. Investigate differences by reference

If the totals do not reconcile, locate the first unmatched movement rather than editing your working balance to force a match. Check the request identifier, account, amount, currency and status. Keep an explanatory note for a pending item so the next person does not repeat the same investigation.

  • Identify the statement period and account reference.
  • Attach the relevant transaction or request reference.
  • Describe the expected amount and the amount recorded.
  • Redact unrelated client and payment details from screenshots.

6. Know what a statement does not replace

An SOA helps explain operational movements, but it is not automatically a tax invoice, proof of platform approval or a campaign performance report. Keep the appropriate records for each purpose. Refunds and reversals follow the relevant agreement and account state; do not assume that an open request has already changed your balance.
